Manufacturing Company Zoho Books & CRM Integration
The Challenge
A Malta-based manufacturing company with €8M annual revenue was running Sage for accounting and managing customer orders through email and spreadsheets. The disconnect between sales and finance meant invoices were issued days after delivery, payment collection averaged 52 days, and the finance team had no visibility into the sales pipeline for cash flow forecasting. VAT returns required manual data compilation that took two full days each quarter.
Our Approach
skios designed an integrated Zoho CRM and Zoho Books deployment that would unify the company's quote-to-cash process. The key design principle was end-to-end automation: a quote created by the sales team in CRM would flow through order confirmation, production scheduling, delivery, invoicing, and payment collection without manual handoffs or duplicate data entry.
The Solution
We migrated the company from Sage to Zoho Books, configuring Malta VAT rules, multi-currency invoicing for EU export customers, and automated bank reconciliation with BOV and HSBC Malta. Zoho CRM was deployed for the sales team with custom modules for product configuration, quote generation, and order tracking. The CRM-to-Books integration automated invoice creation upon delivery confirmation. A custom Zoho Creator application tracked production orders and linked delivery schedules to CRM opportunities.
